I have been speaking to Paul regarding some questions on how the archive works, I will put the same information I gave him below. Please feel free to ask any further questions or for any further clarification on any points.

 When a message is archived (I’m using IMAP) does MParchive remove the message form the mailbox?

Answer: Depending on how the mail server is configured, IMAP collection marks the email for deletion, by default on Exchange it is permanently deleted once the message is collected from the Journaled mailbox however depending on the setup it may just move it to the deleted items folder until it is deleted by retention. If you check the Journaling mailbox you should be able to tell whether it is hard deleting straight away or moving to the deleted items folder by checking the deleted items folder.

What would happen if a client wanted to cancel the service, say they shut down or they sell to someone else. They can download a ZIP of messages but what can the do with that? not search it? I guess it would be an unlikely situation but good to know in case we are asked”

Answer: For the second question, if the customer wishes to cancel the service they can download all the messages as a .zip, these come down as single EML files which they would then need to import into outlook (or similar mail client) to search properly (trying to search them through Windows Explorer or Mac Finder would be extremely tedious and time consuming).

I assume you are talking about deleting the item from the Journaling Mailbox only. I would expect to leave the original email in the recipient’s InBox (or other folder as appropriate) for them to manually delete or for scheduled purge by Exchange. Is that the case?

Answer: The way the Archive should work is that a transport rule on the mail server BCC’s all the messages in and out of all the required mailboxes to the “Journaled” mailbox, it is this Journaled mailbox that we collect from so in essence we are only collecting copies of all the messages, the original messages will remain in the original mailbox untouched by us. If the transport rule is moving (instead of copying) all the messages then the originals would be deleted which is something we need to avoid.

In regards to question 2, is there an option to export to PST file? We also distribute Kroll Ontrack Power Controls which is a tool they could use to search the PST(s) or even recover to an Exchange database.

Answer: From an end user perspective there is no option available to download to PST format, it is very much a single message download or multiple single message download. We do offer a managed historical export where we could put the data into mailboxes that are available to be collected from via POP to an email client (such as outlook) which they could then export to PST from if that was something desirable. It’s worth noting that in this instance though the messages would be all the sent and received messages for the user in question in the inbox, the folder structures for mailboxes are not retained due to the way the archive collects.

The archive itself is fully searchable through the portal so if they just wanted to download specific messages and had the criteria prior they could just search the archive for the messages and download the single ones they need, the export is more for a terminating service type situation where they need absolutely everything to be downloaded and the searching through them all is a less immediate requirement.
